1. Who is responsible for your information?
OJS Home Care Ltd, trading as HomeCare Maintenance and HomeCare Property Maintenance, is the controller of the personal information described in this notice.
Company number 16940929. Registered office: 31 Lee Warner Road, Swaffham, England, PE37 7GD. Email: info@homecaremaintenance.co.uk. Telephone: 07904 790469.
2. Information we collect
- Contact and identity details, such as your name, email address, telephone number and business name if relevant.
- Property and service details, such as the address, postcode, access information, photographs, job descriptions and known safety issues.
- Membership and transaction details, such as plan status, invoices, payment status and a record of terms acceptance. Stripe handles full payment-card details; HomeCare does not receive your full card number.
- Communications, appointment records, quotes, complaints and notes needed to provide the service.
- Limited technical information generated when the website, hosting service, embedded map or Stripe checkout is used, such as IP address, device/browser details and security logs.
3. Why we use it and our lawful bases
- Contract: to answer a requested quote, set up and administer a membership, arrange appointments, provide services, take payment and manage cancellation.
- Legal obligation: to maintain tax, accounting, company and consumer-law records and respond to lawful requests.
- Legitimate interests: to operate and protect the business, prevent fraud, improve customer service, resolve disputes and keep proportionate evidence of agreements. We consider the impact on your rights before relying on this basis.
- Consent: where the law requires consent, for example for optional direct marketing or non-essential cookies. You may withdraw consent at any time.
We do not sell personal information and we do not use it for automated decisions that produce legal or similarly significant effects.
4. Who we share information with
We share only what is reasonably necessary with service providers supporting the work, including Stripe for payment and subscription administration, website hosting and IT providers, professional advisers, and appropriately qualified trades or subcontractors involved in an accepted job. We may also share information with insurers, regulators, law-enforcement bodies or courts where required or lawful.
Some providers may process information outside the UK. Where this happens, we rely on an applicable adequacy decision or approved contractual safeguards and provider security measures.
5. How long we keep it
- Quote enquiries that do not become customers: normally up to 24 months after the last meaningful contact.
- Customer, membership, payment, consent, invoice and completed-work records: normally seven years after the relationship or relevant transaction ends, unless a longer period is needed for an active dispute, insurance matter or legal requirement.
- Routine website security logs: for the period reasonably needed for security, diagnostics and abuse prevention.
We may delete or anonymise information earlier when it is no longer needed.
6. Your rights
Depending on the circumstances, you may have rights to ask for access to your information, correction, deletion, restriction, portability or to object to certain uses. Where we rely on consent, you may withdraw it. These rights can be limited where we must keep information to comply with law or establish or defend legal claims.
To exercise a right, email info@homecaremaintenance.co.uk. We may need to verify your identity before responding.
7. Customer accounts, payments and terms acceptance
When you create or use a HomeCare account, Supabase provides secure account authentication and supplies the website with your account identifier, verified email address and display name. We use that identifier to keep each customer’s profile, property details, discount status, job requests and maintenance history separate. Supabase and our website-hosting provider process relevant technical and account information under their own privacy information.
Before a HomeCare Essential subscription checkout, we record your account identifier, the membership-terms version and the date and time you accepted it. Stripe then hosts the subscription checkout and processes payment information under its own privacy information. HomeCare retains the corresponding customer, acceptance, subscription and transaction records for the period described above.
8. Website, maps and cookies
Our main website is designed to work without advertising or profiling cookies. The hosting and Supabase account services use essential security, authentication and operational technology to keep customers signed in safely. Embedded maps and links to external services may allow those providers to receive technical information such as your IP address. Stripe may use cookies or similar technology necessary for checkout, fraud prevention and payment services when you continue to its site.
If we introduce analytics, advertising or other non-essential cookies, we will update this notice and request consent where required.
9. Keeping information secure
We use proportionate organisational and technical measures to protect information. No internet or email service is completely risk-free, so please do not send payment-card details by email, WhatsApp or the website enquiry form.
10. Complaints and updates
Please contact us first if you have a privacy concern. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or by calling 0303 123 1113.
We review this notice when our services or legal requirements change. The date at the top shows the latest version.
